How To Change Outlook Delivery Options

  I am currently using Outlook or another email client to manage my email
  I need to change the delivery options for Outlook to remove mail from the server either immediately after download, or after a specified time period. Note: for details on how to leave emails on server see How to leave mails on server.

Background

When setting up an email client such as Outlook, you can specify how your want emails to be handled after they have been downloaded. In most cases where you are using the same computer to check email, emails are not stored on the server, since this can result in your mailbox filling up over time. However if you temporarily want to access your email over the Internet you may have changed these settings to leave the mails on the server, which is now resulting in your mailbox filling up over time. The solution below describes how to use the various available settings to prevent your mailbox filling up. There are two options; either remove mails from the server completely or leave them there for a specified period, or until you have deleted them from Outlook.

How to remove mails from server

  1. Start Outlook or your email client of choice.
  2. Go to Tools->Accounts and select the home.co.uk account. Click on Properties.
  3. Select the Advanced tab.
  4. In the Delivery section remove the tick in the box beside 'leave a copy of messages on server'.
  5. Click on Apply and then OK.

How to remove mails from server after a specified time period or until deleted

  1. Start Outlook or your email client of choice.
  2. Go to Tools->Accounts and select the home.co.uk account. Click on Properties.
  3. Select the Advanced tab.
  4. In the Delivery section ensure there is a tick in the box beside 'leave a copy of messages on server'.
  5. Place a check beside 'remove from server after 5 days'. Change the number of days to the time that you feel is appropriate for you. This setting will depend on how often you are downloading mails to Outlook. You want to ensure that mails are not deleted until after you have downloaded them.
  6. You can also opt to delete from the server once you have deleted from your Deleted Items in Outlook. This can be useful since deleting in one place will automatically delete mails from the server as well. Note that this setting requires you to not only delete mails in Outlook, but also to empty your deleted items folder which can be done by right clicking on this folder and selecting 'Empty Deleted Items Folder'.
  7. Click Apply and then OK.
