I am using Outlook. For webmail see creating signatures and identities webmail
I want to create a signature that will appear on all emails that I send
I want to create different identities that I will use depending on the type of email that I am sending, eg. business vs personal
Background
To personalise the emails that you send you may wish to add a signature or standard text that will appear on all of your emails. Typically this text includes your name, address and contact details but could easily include a business tag line. Different signatures can be defined for cases when more than one person is using the same account, or if you want to have different details for personal versus business email. When composing emails you can insert your signature of choice, which will determine the standard text to include with the email that you are sending.
Solution
Open up Outlook.
Go to Tools->Options.
Select the Mail Format tab.
In the Signature section select Signature Picker.
Click on New to add a new signature. You will then be asked to give this signature a name. Select a description for the type of signature (eg. Business versus personal).
To actually add a signature you can either use a template file or create a signature from a blank template. Select which option is applicable and click Next.
Enter the signature text that you want to appear on your emails. You can use the Advanced Edit button to add formatting to this text so that it will stand out from the body text in your emails.
Outlook also allows you at add a virtual business card (vcard) to your mails. You can create a vcard from the Address book/ Contacts that you have stored in Outlook.
Once you have entered all information in this window, click OK and OK again on the Signature Picker window.
Select Apply to effect these changes, and then OK to cancel out of the Options window.
When composing an email this signature will automatically appear. Alternatively if you want to manually insert your signature you will need to use Insert-> Signature and then select which signature you want.
