Background

A mail filter allows you to specify an action to be applied when an email meets a certain condition. For example, you may wish all emails from John to be automatically filed in a folder called 'mails from John'. There are numerous different conditions that can be defined and several different actions that can be taken once mail has been filtered. Some of the more commonly used conditions include searching for specific text in the subject line and then moving these mails to a specified folder. The basic steps to define a filter are given below.

It is important to note that if you are using Outlook the use of @home filters may prevent mails from being downloaded. This is because Outlook only downloads mail in your inbox as opposed to all other folders that you have created. To avoid missing emails you may therefore wish to create your filters in Outlook rather than at your email account level. That way all mails will be downloaded first and then filtered. Outlook filters work by defining rules which can be set up using the Rules Wizard.

Solution

  1. Log into your email account from a web browser.
  2. Select Account Options and then Mail Filtering Rules.
  3. Using the first drop down menu, select whether you want a filter to be based on emails that contain, start with, end with or match exactly the filter text.
  4. Next enter the filter text in the box beside 'this word'.
  5. Now select where this text may be found, eg. in the 'from' field, 'to' field or in the body of the text.
  6. The last step is to specify what action should be taken if an email meets the condition that you have defined. You can opt either to delete it; move it to a folder; send it to another email address; or move, and then send to another email address.
  7. Once you have specified all of these fields, click on 'create filter'.
  8. You can see and edit any existing filters at the bottom of this screen.
